📃 Sending a COVID-19 waiver before each class

Return to play following the COVID-19 pandemic requires Sport & Leisure organizations to put in place protocols and to provide extra awareness. Insurance companies are not covering COVID-19 related claims. As such your organization may ask parents to sign an attestation of risk before each class.

With Activity Messenger’s Automation Bot, you can send the attestation of risk form prior to each class. You can, for example, automatically send the form to all attending class at 7AM the day of. The easiest is to send by text message. Mom or dad can fill the form on their smartphone during breakfast. Easy peasy!

Then easily report on who has signed or not. Filter by class and even by last date of signing. Generate an Excel report or even send the list of non-signers to the coach prior to class.

You can put in place this automation in 4 easy steps.

Step 1 - Create a list of parents/children attending class

  1. Go the Lists, Createand choose Amilia Live Program.
  2. Pick the classes. Activity Messenger will import family accounts from Amilia including the email address and mobile phone number of the parent.
  3. Should you want to send to both parents, you can do so by clicking on Filters, and Both parents.

Step 2 - Create the attestation of risk form

  1. Click on Forms, Create. Choose Youth liability waiver.
  2. Go to the Configure tab and click on Edit to write your terms. If you have them in a Word document, you can just copy and paste. Formatting will be carried over.
  3. Optionally you can make the form pretty by uploading an image, or by picking one from the Media manager.
  4. You can test the form by clicking on Visit the form. I recommend you fill in the form with your personal information to live the experience. You will receive an email with the signed form attached as a PDF.

Step 3 - Create an automated task

  1. Click on Automation, Create. Give it a name and click Create.
  2. From the Settings tab, click on Automatic to configure the Bot.
  3. Choose when to send the message. Put in 0 for the same day, or 1 for the day before. Specify the time at which the message should go out. Before breakfast at 6h45AM for example.
  4. Select the Amilia program and the activities. The Bot will pick up the proper schedule from those classes.

Configure the message

  1. Click on Configure the message. The send message screen pops up.
  2. Choose whether to send by email, SMS or both.
  3. Specify the email subject and compose your message. You can use placeholders for the name of the parent, children and class.
  4. Attach the attestation of risk form that you have previously created. It will be added as a link at the end of your message.
  5. Click on Save to hide the message screen.
  6. Click on Save again to save the Bot settings and to active the Bot.

Run a simulation

You can run a simulation on a given day to see what messages the Bot will schedule. This is especially useful to make sure everything is set up correctly.

Step 4 - Reporting

Activity Messenger gives you powerful reporting on who has signed (or not) a waiver. To determine who has not signed the attestation of risk form, follow these instructions.

  1. Click on Forms, Go to all forms and click on your form.
  2. Click on the Not signed tab.
  3. Select the Amilia program and activities you want to check.
  4. Optionally, you can limit the check against a given date range. This is useful if parents must sign the waiver every week.

The list of parents who have not signed will appear, along with the name of their children. You can use the search field to lookup a parent or child by name.
