Thank you for choosing us to host your special celebration! Please review and agree to the following terms and conditions before confirming your booking:
Booking and Payment
- Number of Guests
- Parties are guaranteed accommodations for the number of guests paid for in advance. We cannot accommodate extra guests on the day of the party. Please be sure your guest numbers are accurate when registering.
- Non-Refundable Policy: Payment is required to confirm your booking. All payments are non-refundable, except in cases of illness as outlined in the "Illness Exception" section.
- Illness Exception:
- If the birthday child or guest of honor cannot attend due to illness, the event may be rescheduled to a mutually agreed-upon date, subject to availability.
- To qualify for this exception, notice must be provided at least 24 hours in advance, along with appropriate documentation (e.g., a doctor’s note or proof of illness)
Rescheduling Policy
- Rescheduling due to illness or extenuating circumstances is permitted once without additional charges.
- Additional rescheduling requests may incur an administrative fee.
Party Duration and Additional Charges
- The agreed-upon party duration is 2 hours, with the exception of Chef Parties with 13 or more children which are 3 hours.
- At the end of the party time, guests are expected to leave the building promptly. A 10-minute grace period will be given, however any time required over and above the 10 minutes (i.e., for guests who have not yet exited the party room) will be billed at $5 per minute.
Food and Beverages
- Provided Materials:
- The Arts Connection will provide plates, cups, napkins, and cutlery.
- Families are permitted to use the facility fridge, freezer, and microwave upon request in advance if space is available.
- We do not provide any food, drinks, cake, or other edible items with our packages, besides the ingredients required for Chef Parties.
- Bringing Your Own Food:
- Guests are encouraged to bring their own food and beverages. All food must comply with health and safety standards. Please avoid nuts as we are a nut-free facility.
- Alcohol is not permitted unless pre-approved by the venue.
- Please note there is generally less than hour left for food serving after activities, so please plan your food items accordingly.
- Food Service:
- Food brought by guests must be served and handled at their own risk.
- The venue assumes no responsibility for food safety or preparation.
- Allergies and Dietary Restrictions: It is the host's responsibility to inform guests of any allergens in food they bring or serve.
Supervision and Safety
- Supervision Requirement:
- At least one parent or guardian of the Birthday Child must remain onsite throughout the event.
- Our staff will facilitate activities and assist with group supervision during free time but are not responsible for individual child supervision.
- Liability Release: By booking your party, you agree to release The Arts Connection, its staff, and affiliates from liability for injuries, accidents, or damages during the event, except in cases of gross negligence or willful misconduct.
Venue and Property Policies
- Property Damage: Any damage to the venue or its equipment caused by attendees will be the responsibility of the booking party.
- Decorations: You may bring your own decorations, provided they do not damage the venue. Adhesive materials such as tape, tacks, or nails are prohibited on walls or surfaces.
- Cleanup: The host family is responsible for removing decorations and personal items before leaving. The Party Host will take care of general take down. Excessive cleaning requirements may result in additional charges.
Cancellation Policy
- Strict No-Cancellation Policy: Once payment is made, no cancellations are permitted except under the "Illness Exception" policy detailed above.
