POLICIES:
- Vouchers are not accepted at this time
- Program fees are only for scheduled programmed dates (there are no charges made for Holidays or DOE Scheduled Breaks). Any unscheduled changes (snow days etc.) will be credited towards the next months fees.
REGISTRATION:
- On-line registration is monthly and all payments are expected at the time of registration.
- Registration will continue throughout the school year on a space available basis.
- Registration is for 5 days weekly unless there is a school holiday.
- Exceptions can be made for vacations when notifying our firm in writing via email a minimum of 2 weeks in advance. Adjustments will not be made after program dates have passed.
BILLING:
- Families will be billed monthly. (*You must register your child on a monthly basis)
- Bills are payable online by debit or credit card.
- Monthly emails will go out to remind families to register.
- Weekly fee for Afterschool is $150.00 per week ($30 daily) for 5 days 2:20-5:30pm.
- Monthly Tuition is due by the 5th of each month. Payments received after the 5th of the month will incur a $25 late fee (Placed directly onto your account)
- All families pay a non-refundable $50 yearly registration fee.

- Payments can be made online through your account for no additional charge, or you can contact our office at 347-599-2589 to make a payment for additional $5.00 process fee.

PRIVACY POLICY:
- We collect information about your family to provide the best and most appropriate care for your child.
- All family personal information is processed and stored in a secure database with access controls.
- We use this information for statistical analysis to develop programs required for the future.
- We do not sell or rent your family information to any person or organization. Information is only given to those directly involved in providing a service to your child, or as required by law.
- We retain your information to enable us to communicate with you if we have new information that may be of interest to you.
SNACK POLICY:
- If you are providing a snack for your child, please ensure it is NUT FREE, and separate from their regular daytime snack and clearly labeled “Fitkidz Afterschool Snack.”. If your child has any allergies or dietary restrictions, it is essential that you notify our office directly and indicate this information when completing the registration form.
DISMISSAL /PICK UP POLICY:
- Please contact our firm if your child will be absent from the program that day.
It is the parent/guardian responsibility to ensure that all necessary emergency information (i.e. medical and/or specific needs) has been disclosed. We encourage parents to speak with staff prior to the start of the program.
- Only 3 pickup options are available and listed above*
- Please contact our firm directly if your child is to be picked up by someone who is not listed. (If the contact is not listed on the childs bluecard, they will not be able to pick up the child)
- We will not release the child without prior consent and available ID.
- Pick up is at any time during the program. Parents should plan to pick up their child before 5:25PM, NO LATER than 5:30PM. Additional fees will incur for children picked up after this time. Parents will be charged $1/minute for pick up after 5:30PM and the fee will be placed DIRECTLY onto the account as a late fee.
- For Extended day, children should be picked up NO LATER than 5:55PM and will be charged $1/minute for pick up after 6:00PM.
REFUND POLICY:
• Refunds apply when the withdrawal of a student is received in writing 2 weeks prior to the start of any season.
• Should Fitkidz find it necessary to de-register a child, a refund will be issued after deduction for classes already attended.
- No refunds are given for missed days.
- A $25.00 administration fee will be applied to each session from which you withdraw.
- No refunds will be given for any missed classes.
- $50 Registration Fee is non-Refundable
Make-Up Classes & Cancellations:
• Make-up classes may not be offered as a result of inclement weather if Fitkidz cancels the class.
• Fitkidz reserves the right to cancel any program due to insufficient enrollment. Upon cancellation, a full refund will be made.
TOILETING POLICY:
- To support the comfort and dignity of all children in our care, we kindly ask that families prepare their child to use the restroom as independently as possible while participating in the Fitkidz Afterschool Program.
- We understand that toileting needs vary, and that occasional accidents may happen — especially with younger children. In these cases, our staff will provide gentle and age-appropriate assistance to help the child change into clean clothing. We ask that parents provide an extra labeled change of clothes in their child’s cubby in the event of an accident .
PHOTO & MEDIA POLICY-
At Fitkidz, we love to celebrate the joy, creativity, and achievements of the children in our programs. From time to time, we may take photographs or short videos during activities to capture these special moments.
Photos and videos may be used for:
- Internal documentation and program highlights
- Sharing updates with families (e.g., newsletters or Class Dojo)
We take privacy seriously and are committed to using images responsibly.
We do not include children's full names or personal information in any public materials.
PARENT CONSENT-
At registration, you will be asked to indicate whether you give permission for your child to be photographed or filmed as part of program activities. Families who do not wish for their child to appear in any photos or media will be respected fully, and our staff will make every effort to ensure their privacy.
