Program Policies and Procedures
Club Aviva reserves the right to adjust program times and dates as required, and reserves the right to refuse service at any time, without refund, to participants who disregard gym guidelines, safety regulations, and policies and procedures as set out. This includes parents/guardians. As policies may be amended from time to time, please refer to the current policies & procedures available at clubaviva.ca
Commitment
Gymnaestrada is a 7-month commitment. The decision to join our team is a big one, and reflects a significant commitment. The group works as a team, and so lack of attendance jeopardizes the entire group.
Medical Absence or Injury
If a gymnast is injured or is ill and cannot participate for more than 2 weeks, email comp@clubaviva.ca as soon as possible. Fee exemptions may be given on a case-by-case basis with a doctor’s note.
Make-Ups
Due to the nature and scheduling of the Gymnaestrada program, it is NOT possible to offer make-ups for missed classes due to illness, vacation, or other personal reasons. If Club Aviva is required to cancel programs due to inclement weather, power outages, stat holidays, staff availability, unforeseen circumstances, etc., we will do our best to schedule a make-up class for the missed class whenever and wherever possible. Cancelled or modified training may not always result in make-up trainings, credits, or refunds.
Participation in Gymnaestrada & Special Events
The purpose of the Gymnaestrada team is to provide performance opportunities to athletes via group displays (group performance). If you are not able to attend the scheduled events, then the BC Provincial Gymnaestrada group may not be suited for your child. It is MANDATORY for all team members to attend ALL EVENTS, including BC Gymnaestrada.
Team Travel
We reserve the right to add additional coach expense fees in the event that the BC Provincial Gymnaestrada is held outside the Lower Mainland (this is not applicable to those who have already paid annual competition expense fees associated with the Competitive program registration). These additional coach expense fees will help to cover the costs associated with coaches’ travel expenses, including but not limited to transportation (airfare, ferry, and/or mileage), food, and accommodations. This cost will be estimated and divided equally among the participants. We do everything we can to keep this cost as low as possible.
Parents/Guardians are responsible for participants’ travel, accommodation, meals, and offsite supervision to all events.
Late Payments
There will be a $20 late fee added to any overdue or late payments. Overdue payments may also result in a pause or removal of the athlete from the program.
Administrative Surcharge
There will be an administrative surcharge to competitions, events, uniforms, and other extra fees to this program. This charge is 4% of the total for banking/transaction fees + $5 for administrative services, and it will be automatically included in the invoice for these costs. The purpose of this administrative surcharge is to help recoup some of the extra costs involved in these program functions.
Costume Fees & Performance Entry Fees
The costume deposit fee should cover the costume, however any difference in deposit and final amounts will be charged to all participants after the costumes are finalized. The coaches will select and order costumes for the whole team. There may be small props or make up that you will be asked to purchase for your child. We will make every effort to keep these costs low.
Performance Entry Fees will be kept on your account, and Club Aviva will register all participants for BC Provincial Gymnaestrada.
Covid-19 Safety Plan
You must agree to adhere to Club Aviva’s COVID-19 safety plan/Club Aviva Communicable Disease Plan, daily screen checks and waivers (if applicable), which will be given separately if necessary.
Illness during Covid-19
If you miss 2 weeks of sessions due to quarantine or illness, there will be no make-ups or refunds. If the illness exceeds 2 weeks, we will review on a case-by-case basis.
Closure due to Covid-19/Other Communicable Diseases
If we have to close the facility due to Covid-19 or other communicable diseases, training will be extended or credits will be issued.
Rules of Conduct
- Only participants with valid GBC membership may be present on the gym floor at any time.
- Siblings or parents/guardians of participants, even those with valid GBC memberships, may not use the equipment or be present on the gym floor at any time unless accompanied by a Club Aviva staff member during their registered class or drop-in session.
- Participants and all family members must show respect to Club Aviva Recreation as a company and the facility.
- All Club Aviva employees including office, recreational, and birthday party staff have full authority to enforce Club Aviva’s procedures, policies, and guidelines.
- Participants must show respect for one another, their coaches, and Club Aviva staff at all times.
- Participants must show up and leave their class on time.
- Accounts must be up to date and current to continue services at Club Aviva.
Safety Regulations (Rules of the Gym)
- Always stay off the equipment and out of the gym before and after class. A Club Aviva staff member must be on the gym floor for any member to be permitted use of any equipment.
- Participants must clean up after themselves; food/drink, tape, clothing and garbage.
- Do not attempt any skills without your coach’s consent and supervision.
- Always walk, not run from place to place.
- Watch where you are going.
- Use equipment safely, the way it is meant to be used.
- One person at a time on all trampolines.
- No pushing, fighting or rough play, Club Aviva will not tolerate bullying.
- Enter the foam pit feet first unless otherwise instructed by a Club Aviva staff member.
Parents
- Please pick up your children on time. Our coaches may have classes one after another and cannot assume responsibility for your children once the class has ended. Reoccurring late pick ups will results in late pick up fees.
- For safety reasons, please come inside to pick up your children after their classes, as we do not want children waiting outside alone.
- Parents must view from seating areas provided by Club Aviva and not from the gym floor or the doorways into the gyms. Please refrain from calling out to children or distracting them while they are in class. Gymnastics is a sport which requires concentration and focus. This is a safety requirement which parents must adhere to. Parents who coach from the sidelines may be prohibited from watching practices.
- Important emails will be regularly sent out with information on classes, events, deadlines, and training schedules. It is vital that you frequently check your email if you wish to remain informed.
- Your involvement in your child’s gymnastics is greatly appreciated. Please help keep a positive atmosphere for the children and staff; do not partake in rumours or bad mouthing ANY athletes, coaches, staff, other parents, or Club Aviva. Refrain from participating in affairs which are outside of your responsibilities, and the passing of information that does not apply to persons other than staff.
- Club Aviva is a facility where children are inspired and intrinsically motivated. Children are distracted from what we don’t want in our society and attracted to what we do want; confidence, competence, self-actualization and discovering joy in life. Be a good sport and be the example of what you want for your child.
Failure to abide by the rules and regulations as previously mentioned may result in refused service without refund.
