About The Role
This role requires an organized, reliable, and detail-oriented individual with a knack for keeping systems flowing and communications clear. In this support role, the individual should take pride in the integrity of the information and structures they maintain and should be comfortable working independently, communicating with a distributed team, and juggling multiple tasks in a dynamic and purpose-driven environment.
This role is perfect for someone who enjoys working behind the scenes to ensure programs, finances, and communication run smoothly, as well as for someone who values being part of a mission-aligned team serving youth, families, and communities through nature-based education.
A key part of this role is maintaining accurate financial records, supporting communications, assisting with reporting, and ensuring timely administrative follow-through. Over time, the individual in this role will take on responsibilities related to merchandise management and booking community events, parties, and rentals.
Key Responsibilities
Bookkeeping & Financial Admin
- Execute all bookkeeping activities, including virtual filing of supporting documentation
- Conduct monthly reconciliations of financial records
- Generate invoices and financial documents upon request
- Maintain accurate accounts receivable (AR) records and initiate communication for collection
- Provide financial reports and summaries to program and director-level staff
Organizational Support
- Support internal communications by sharing staff perks (e.g. 10C events) and relevant updates
- Record, prepare, and file meeting minutes
- Input and update program data in administrative systems
Emerging Responsibilities (Phase-In)
- This position has the opportunity to grow into a full time position for the right candidate
- Manage and fulfill merchandise requests
- Coordinate bookings for parties, rentals, and field trips
Skills and Qualifications
- Strong organizational and time management skills
- Ability to communicate clearly and ask questions
- Proficiency with spreadsheets, digital filing, and cloud-based tools (e.g., Google Workspace, QuickBooks, Slack, Activity Messenger)
- Ability to prioritize workload
- Excellent written communication and interpersonal skills
- Ability to multitask with attention to detail
Experience
- 1-3 years of experience in administrative, finance, or bookkeeping roles (nonprofit or charity experience is an asset)
- Experience working remotely and managing multiple priorities
Reporting & Team Structure
This position is directly supported by the Office Manager and the Organizational Director, with regular collaboration with other administrative staff. The organizational placement of this role is within a small, supportive administrative team dedicated to organizational clarity, community well-being, and grounded, inclusive practices.
