General Policies & Media Release

Fees and Payment Policies:

All classes, drop-ins, camps, parties and event fees are subject to GST.
Gymnastics BC (GymBC) membership ($44) and SCG membership ($21) are due at time of registration. There are no taxes on GymBC membership fees.
Classes may be paid in full at the time of registration, or you may choose to adopt instalments.

Cancellation, Transfers, Withdrawals & Refund Policy

Classes: Classes may be cancelled or combined due to low registration. In the event of this, SCG will notify students and/or parents.
- In the case of cancellation by SCG due to low enrolment, a refund will be provided and prorated as applicable.
Both GymBC and SCG membership fees are non-refundable.
Refunds will be processed back to the original method of payment within 30 days of receiving the withdrawal request.
A refund will be provided if the program is deemed unsuitable for the student by the facility (i.e. for ability, safety, or maturity concerns) and pro-rated as applicable.
Transfers: Students wishing to transfer classes should email: info@suncoastgym.ca
Classes: Participants wishing to withdraw from a class must submit a formal request via the Withdrawal Form.
- To receive a refund, notice must be received a minimum of 5 business days prior to the next class (ie. notice given for a Wednesday evening class must be received by the Thursday morning following a class to be refunded for the following class). This allows us adequate time to offer your spot to someone on the waitlist.
- No refunds are provided during the last 4 weeks of a session.
Open Gyms/Drop-ins: Refunds are not issued, but transfers to another date will be considered if space permits. The transfer request must be received a minimum of 24 hours in advance of the open gym start time. There are no refunds or credits applied for unattended open gym sessions.
Birthday Parties: Fees are paid upon booking. To receive a refund, you must cancel a minimum of three weeks in advance. A $15 administration fee will be withheld.
Camps & Mini Sessions: Fees are paid upon registration. To receive a refund, notice of cancellation must be received (1) week in advance. A $15 administration fee will be withheld.
Kids Night Out: Fees are paid upon registration. To receive a refund, notice of cancellation must be received 24 hours in advance. A $5 administration fee will be withheld.

Health & Safety:

Please do not come to the gym if you are ill. SCG reserves the right to remove any participant from class that appears unwell. The parent/guardian will be called and asked to take their child home.
There are no refunds if a participant misses a class due to illness.

Inclement Weather:

If local schools are closed due to weather, it is likely that our daytime programs will be cancelled. We will do our best to email all participants in a timely manner.
Since road conditions can impact our families and coaches arriving safely to the Gym, SCG will make the decision to cancel afternoon/evening classes by 2:00 p.m., that day.
Notice of cancellation will be emailed shortly after 2:00 pm and posted on our social media channels.
Classes cancelled due to inclement weather will either receive a rescheduled makeup class, or participants will be provided with a complimentary drop-in pass. Exception: Team Programs.

Bullying & Harassment Policy:

SCG is committed to providing an environment free of bullying, harassment, and all intimidating behaviour directed towards its’ students, athletes, staff and visitors. Bullying and harassment is not tolerated.
We encourage the prompt reporting of all incidents to our Manager. If this is not suitable, please report your concern or complaint to Gymnastics BC.

Media Release

By participating in SCG programs, individuals and families agree to the following:

● Permission to share, without payment of any fee or charge, media content (video, photos and information about my child) publicly through club bulletin boards, websites, social media and video sharing platforms for the purposes of SCG promotions and marketing.

● Consent for the media to release me and/or my child’s name and/or photo in any media coverage at the gym.

● Consent for SCG to disclose my name, contact information and child's name to any appointed volunteers during special events that my child may be involved in.

SCG adheres to the Gymnastics BC privacy policy.
