Automate activity-start and activity-end messages
Send useful information around the first or last class of an activity. Choose Activity start for preparation and onboarding; choose Activity end for feedback, final documents or a next-session invitation.
Choose the reference date
| Goal | Trigger |
|---|---|
| Welcome participants before the session | Activity start |
| Send final instructions near the first class | Activity start |
| Request feedback after the last class | Activity end |
| Remind participants before every occurrence | Class reminder, a separate automation |
The audience needs activity dates. A contact list without activity context is not enough. Confirm imported dates and participant/contact information before configuring timing.
Configure the automation
- Open Communications > Automations > Create and choose Activity start or Activity end.
- Name the automation, select the relevant list or activity source, and choose when to send relative to the first or last class.
- Review the sending time and organization timezone.
- Apply available participant, registration or attendance conditions only when they match your goal.
- Configure the message, placeholders and attachments. For an end-of-session survey, attach the intended form and check its link.
- Save and inspect the simulation for representative dates before enabling.
An attendance condition is meaningful only when attendance has been recorded before the message is evaluated. A start reminder scheduled before class should not depend on a check-in that has not happened yet.
Maintain the workflow
Keep dates and registrations up to date in the source. The current scheduled workflow refreshes eligible activity-start and activity-end recipients at dispatch, so the earlier simulation is a preview rather than a permanently fixed audience.
Review actual sends in the automation’s Messages tab. Separate operational preparation from promotional re-enrollment content and choose the correct communication type.
Continue with each-class reminders or attendance-based automations.
