Create and reuse quick messages
Save a quick message when your team regularly sends the same short notice. Reuse the wording for different audiences without rebuilding an email layout.
Create the reusable message
- Open Communications > Quick messages and select +.
- Give the message a clear internal name.
- Write concise text and insert placeholders using the picker when needed.
- Review any AI-assisted wording or translation, then select Create.
You can also start from the default examples. For a class reminder, include the activity, time and location only when that information exists for the intended audience. Use the placeholder picker rather than inventing field names.
Maintain your messages
Open a row to edit its text and save your changes. Use the reorder control to put frequently used messages first. Archive messages that are no longer useful; the Archived filter lets you find them later. These actions do not rewrite messages already sent.
Use a quick message
- Open Communications > New message.
- Choose the channel, communication type, sender and recipients.
- Open Quick messages and select the saved text.
- Adapt this particular message if necessary; this does not edit the reusable original.
- Preview the result, check placeholders and links, then test with a suitable test recipient before sending or scheduling the real communication.
The text becomes the SMS body or a simple email message. Choosing a quick message does not choose its recipients or make promotional wording non-marketing.
Check SMS length
Review the final SMS preview. Names, links, organization identification and opt-out text can change its length. The preview counter is an estimate, not a promise of carrier segment counts or charges. See SMS, images and message length.
