Automate follow-ups after a form response

Send a confirmation or a sequence of follow-ups after someone submits a form. Choose the date that should drive the message before configuring the delay: the submission date and a date supplied in an answer are different triggers.

Prepare the workflow

Choose the form, the information the recipient needs next and any reason to exclude them from follow-up. A trial-class sequence might send preparation information first and a registration invitation later. Classify each message according to its actual purpose.

Configure the automation

  1. Open Communications > Automations > Create and choose Form response.
  2. Name the automation and select the form.
  3. Choose the reference date: the response date or a supported date question.
  4. Choose immediate follow-up when that option applies, or set a delay and sending time. Review the organization’s timezone.
  5. Apply any available class, answer or exclusion filters needed for this particular workflow.
  6. Configure the channel, message, placeholders and links.
  7. Save, review the simulation where available, and enable only when the audience and timing are correct.

For several follow-ups, create the separate timed messages you need. Give each a name identifying its purpose and delay so staff can maintain the sequence.

Review eligibility and results

A missing or unsuitable reference date can leave a response outside the audience. Use representative submissions when checking the simulation, including a person who should be excluded. An immediate submission trigger and a scheduled daily message should not be treated as the same execution path.

Review the automation’s Messages tab after it runs. If someone receives an unexpected follow-up, inspect the source response, reference date, filters and the specific send-out rather than changing the entire sequence blindly.

For unfinished submissions, use abandoned forms. For a one-time campaign, use scheduled messages.
