Show allergies and participant information on attendance lists

Can I quickly see each participant's allergies or transportation mode?

Yes. Attendance lists have a Visible columns control. Allergies is a built-in choice. A value such as transportation mode can also be displayed when it is recorded as a form answer or custom participant field and that information is loaded for the participants on the attendance list.

You do not have to open every participant's record to consult information that is available as a column. Selecting a column displays existing information; it does not collect or fill in missing answers.

Choose the attendance columns

  1. Open the attendance list for the class concerned. Use Table view if a Table/Mosaic switch is available.
  2. Open the three-dot actions menu and select Visible columns.
  3. Select Allergies. For transportation mode, look for the label of your question or custom participant field, such as Transportation mode. The form name may appear beside a question to help identify it.
  4. Allow the participant answers to finish loading if the additional choices have not appeared yet. Opening Visible columns loads form answers when needed.
  5. Select Save and check the information displayed for your participants.

Your column choices are saved for your user and this class. They are not automatically copied to every colleague or every other class. Organization defaults are added to your saved choices when you reopen the attendance page.

If a custom field is missing or empty

For transportation mode, first make sure the information has been collected in a form answer or custom participant field associated with the participants concerned. The choices are built from loaded participant data; the selector is not a catalogue of every question in every form in your organization.

Check that you opened the right class and session, that the relevant answers have loaded, and that the field is allowed to appear in attendance. Participant profile visibility settings can exclude custom fields. If the information has not been supplied for a participant, choosing the column will not create a value.

Allergies is available as a standard column even when you are not adding a custom question. A separate custom question about allergies may also appear under its own label; select the field where your participants' information is actually stored.

Choose the information shown on participant cards

When Mosaic view is available, use the separate Fields visible on the card option in the actions menu. Select the fields you want on the cards and save.

These choices are saved separately from table columns, for your user and the class. With participant profiles enabled, the available card fields come from permitted profile fields and custom participant fields; they are not necessarily the same as all loaded form-answer columns. If a transportation answer is available in the table but not in the card selector, use the table to consult it.

Set default columns for the organization

An administrator with access to Organization settings > Advanced options can configure Default visible attendance columns:

  1. Expand the choices with Show, if needed.
  2. Select the standard fields to display by default, such as Allergies.
  3. If Dynamic attendance questions is shown, select any relevant custom questions offered there.
  4. Save the organization settings.

These defaults apply across administrators' attendance pages, alongside their additional personal selections. A default may reappear when a user reopens a list even if they previously hid it for that view.

The organization-level custom choices come from questions used by dynamic attendance rules, plus previously saved selections. This control does not list every form question. You can still select other available answers on an individual attendance list using Visible columns. Organization column defaults do not replace the separate card-field selection.
