Choose templates, quick messages and media
Choose a reusable asset based on what the reader needs to receive. The asset stores content; the audience, channel, purpose and delivery time are chosen when preparing the send.
Choose the right format
| Need | Use |
|---|---|
| A short closure notice or reminder | A quick message |
| A branded newsletter with sections, images and buttons | A message template |
| A reusable image, video or PDF | The media library |
| A personalized certificate or badge | A certificate |
| A completed document based on an existing PDF | A PDF document template |
Templates are structured HTML content. When shared by SMS, the recipient follows a link to the web version. Quick messages are text-first and can also be used for email. Neither choice automatically makes the communication marketing or non-marketing.
Prepare content for reuse
Give the asset a clear internal name. Keep changing details, such as a participant’s name or class date, in placeholders when the audience supplies those values. Separate a general reusable design from a one-time announcement.
Preview the asset with representative recipients. Check empty values, long names, links and mobile readability. A test addressed only to your own email may lack the registration or form context needed to populate every placeholder.
Use the asset in a message
Create a message, choose its audience and insert the saved content. Review the final message before sending or scheduling. Saving an asset does not send it to anyone.
Start with templates, quick messages, media or certificates.
