Activity Messenger Help Center Save and review worked-hours snapshots The Worked hours report combines classes, bookings, shifts, approved timesheets and payroll adjustments. Those source records can change after you prepare payroll. A snapshot saves what the report showed for a specific period and set of report options at the time it was captured. It does not mean the hours were approved or paid. For how hours are calculated, see Staff operations. Create a snapshot Open Staff schedule › Hours & payroll › Worked hours report (or Finance › Worked hours) and choose the dates and report options you need. Both locations use the same report data and snapshot history. In Worked hours snapshots, click Save snapshot to capture the current report. You can optionally enter a name that identifies its purpose or pay period. When you export the worked-hours report to Excel, Activity Messenger also saves a snapshot of that export. This gives you a record of the report that was prepared for payroll. An export snapshot records the file generation; it does not confirm that a payroll provider received or processed the file. Schedule snapshots Account owners and organization owners can use Scheduled snapshots to save reports automatically. Choose the interval in days and its starting date. Each scheduled snapshot covers a complete interval, from one boundary up to the next, and uses the organization's default worked-hours report options. Check that the start date, interval and defaults match your pay periods before enabling the schedule. Scheduled snapshots are captures of the report as it stood when they were created. They do not require the optional worked-hours approval workflow and do not mark a payroll period as paid. View an earlier snapshot Open the Worked hours snapshots section below the Worked hours report in Staff schedule or Finance to see manual, Excel-export and scheduled captures. Click Open to inspect a snapshot's period and worked-hours rows. Use the Revision selector to see its earlier values, who made each change, and the reason entered for it. The saved report remains available even if a class, booking, shift or timesheet later changes. The snapshot viewer groups entries by staff, like the Worked hours report. Open a staff row to see its saved entries. Select any revision and click Download to Excel to open the export dialog. Choose staff from that revision, one tab or a tab per staff member, and whether to include only entries where staff was marked present. The saved period is used automatically. The Include staff assigned through Permissions and Use instructor check-in/check-out times switches show the settings used when the snapshot was captured and cannot be changed for this export. For example, if Permissions shows Yes, you cannot turn it off here; if it shows No, you cannot turn it on. Changing either setting would require recalculating from source records that may have changed since capture. Click Apply, then Save to download the saved values. To find a capture, enter part of its name under Search snapshot name, or choose dates under Period overlaps from and Through, then click Search snapshots. The date filter includes any snapshot whose saved period overlaps at least one day in your range. For example, searching September 1–15 includes a snapshot that runs from August 1 to September 3, one that runs from September 10 to November 15, or one entirely inside the range. You can use a name and dates together. Click Clear filters to see all snapshots again. Use the current Worked hours report when you need today's view of an earlier period. A difference between today's report and a snapshot is a reason to review the source records and any payroll already processed; editing a source record does not automatically correct a paycheque. Correct a saved snapshot An Account owner or Organization owner can click Edit captured hours to change saved hours or pay amounts. A reason is required. The snapshot keeps its original values and later revisions so you can see what changed. Other users can view snapshots only if their existing access to the Worked hours report allows it; they cannot edit saved rows without this owner permission. Correcting a snapshot changes the saved report. If payroll has already been sent or paid, handle any pay difference through your payroll process as well. A snapshot correction alone does not issue a payment or create a payroll adjustment.
