Financial reports
Financial reports help you review money received, items sold, accounting allocations, Stripe deposits, class performance, membership activity and booking utilization. Use this overview to choose the report that answers your question, then open the detailed Payments, Sales, Stripe, Classes, Memberships or Bookings guide.
Before you begin
You need permission to access financial reports. The reports available to you also depend on your role, enabled modules and whether the organization has a connected Stripe account or cash-register mode.
For meaningful ledger-code and accounting exports, configure ledger codes, taxes and accounting mappings before reviewing the reports. See Set up accounting and ledger codes.
Open and use financial reports
- In the administration menu, open E-Commerce.
- Select Reports.
- Select the report name to open the report menu.
- Choose a category and report.
- Select the date range. Dates are interpreted in your organization's timezone unless the report explains another date basis.
- Apply the report-specific filters, then use Excel when you need the supporting detail outside Activity Messenger.

The date range, administrator, point of sale and contract controls do not apply to every report. A control appears only when the selected report supports it. Use Saved reports to save a named configuration privately or share it with your organization. The page URL also keeps the current report settings.
Financial reports are live calculations. Corrections to invoices, payments, schedules, ledger codes or Stripe data can change a prior period when you run it again.
Save and share report settings
Use Saved reports to keep named configurations for the financial reports you use regularly. Each saved report keeps the selected report, its applicable dates, filters, comparisons and display options. Reopening it loads the report with current data; it does not create a snapshot or an Excel file.
The menu is available to owners, administrators and accountants with financial report access. The report types you can save and reopen still depend on your permissions and the organization's enabled modules.
Save a report
- Open a financial report and select its dates, filters and display options.
- Open Saved reports and select Save.
- Enter a Name and, optionally, a Description. Activity Messenger automatically proposes a name and description from the report settings. Review the suggestion, edit it, or use Suggest again. You can type your own text and save even when a suggestion is unavailable.
- Under Visibility, choose Only me for a private report or Organization to make it available to other users in your organization who have access to that financial report. New reports default to Only me.
- Select Save.
For example, save a Payments report for a fixed monthly period with your usual payment-method and ledger-code filters. Give it a name such as “September payments — program revenue” so you can find the configuration again.
Reopen and pin reports
Open Saved reports and select a report under Latest or Pinned. Latest shows the five most recently saved or updated reports you can access. When you have accessible pinned reports, the menu opens on Pinned first.
To find another report, select Manage reports. Search by name, sort the table by name or visibility, and use its page controls and Reports per page selector. Select a report's name or row to open it.
In the management table, use the thumbtack button to Pin report or Unpin report. Pins are personal to your account in that organization. Unpinning a report removes the shortcut without archiving the report.
Save changes, make a copy, or share a link
When you open a saved report, its name appears above its related actions in the Saved reports menu. Changes to the report's dates, filters or display options show Unsaved changes beside the report name until you save them.
- Save again / Modify: after adjusting the report, select this action to save the current settings back to the same saved report. You can also change its name, description or visibility in the dialog. Select Save changes to confirm. Only the report's creator can update it.
- Save as new: keep a separate configuration without replacing the original. You can use this to adapt another admin's shared report. The copy defaults to Only me; choose its visibility before saving it.
- Copy URL: copy the saved report's link. Anyone opening it must sign in and have the required access. A private report remains private even if its link is forwarded. When the creator updates a shared report, the same link opens its updated settings.
Use Saved reports → Manage reports → Archive to remove a saved report you created. Confirm the action. Its saved link will no longer open, including for colleagues who had access to it. Archiving a report does not change invoices, payments, classes or other source records.
Dates and selections when reopening
Fixed date ranges stay fixed; reopening a report next month does not advance them automatically. In Class enrollment tracking, inferred date ranges are recalculated when the saved report is reopened. Class tags continue to select matching classes dynamically, while an explicit class selection keeps those classes. Review the selections if a warning says that a selected class is no longer available.
Report settings also remain in the page URL, so you can reload the page or copy its current address. Use a named saved report when you want to find that configuration in Latest, Pinned or Manage reports. If an update or archive warns that the saved report changed since you opened it, reopen it before trying again, or use Save as new to keep a separate version.
Payments reports
Use Payments reports to answer when and how money was collected, refunded or attempted:
- Payments: individual payments and refunds, with payment method, taxes, ledger-code allocation and reconciliation exceptions.
- Payments summary: the same payment activity grouped by day.
- Payments by ledger code: payment activity allocated across ledger codes.
- Scheduled payment attempts: the operational history and follow-up queue for automatic and scheduled collection attempts.
- Register operations: cash-register openings, closings, counts, tips, deposits and balancing differences.
Read the Payments reports guide.
Sales reports
Use Sales reports to answer what was placed on finalized invoices and how it was classified:
- Sales: invoice-item detail, including paid, unpaid, cancelled, refunded and changed items according to the selected status.
- Sales summary: sales activity grouped by day.
- Sales by ledger codes: sales totals and trends grouped by ledger code.
- Promo codes and discounts: promo-code applications, manual discounts and manual credits.
- Period journal entries: one balanced entry using each ledger code's payment or sales posting basis.
- Deferred revenue: opening deferred balance, receipts, refunds, revenue recognized and closing deferred balance for payment-basis ledger codes.
Stripe reports
Use Stripe reports when transactions were processed through the organization's connected Stripe account:
- Stripe payouts (bank deposits): match Stripe's net payouts with deposits in your bank account.
- Stripe payments: inspect the payments, refunds and fees processed by Stripe, either by payment date or payout date.
- Stripe disputes: find disputed payments and follow their response status.
Read the Stripe reports guide.
Classes reports
Use Classes reports to compare cumulative invoiced class revenue, registration pace, occurrence-level revenue, current capacity utilization and private lesson billing:
- Classes revenue: cumulative participants and invoiced revenue for one or two selected class cohorts.
- Class enrollment tracking: cumulative net registrations compared by elapsed day across cohorts.
- Classes revenue per day: roster-based potential and allocated finalized invoice revenue for each scheduled occurrence.
- Class capacity utilization: average enrolled spots compared with each class's configured capacity.
- Private lessons: booked lesson volume, scheduled time and client billing by coach.
Read the Classes reports guide.
Memberships reports
Use Memberships reports to compare active-member snapshots or isolate payments and refunds allocated to membership invoice items:
- Active memberships: count active membership records on one date or compare two dates, including the members added or expired between them.
- Membership payments: analyze membership cash activity by payment date, including refunds, recurring projections and unpaid-invoice exceptions.
- Affiliations: in eligible federation workspaces, manage generated affiliation reports and invoice PDFs by season and club.
Read the Memberships reports guide.
Bookings reports
Use Bookings reports to analyze scheduled resource use, booking billing and the sequence of booking-cart operations:
- Bookings: measure scheduled booking rows, actual and adjusted hours, resource utilization, daily booking volume and people attached to bookings.
- Bookings revenue: review finalized booking invoice items according to their scheduled event dates, including client, player and coupon detail.
- Live bookings: replay a single day of booking-cart and finalized-invoice operations to investigate changes and possible resource conflicts.
- Traffic: compare the average number of booked resources by weekday and time across the selected date range.
Read the Bookings reports guide.
Geographic and demographics
Use the Geographic and demographics report to analyze where people live by zip/postal code, along with their age and gender. It covers class participants and clients with reservations.
- Open E-Commerce > Reports and select Geographic and demographics from the report menu.
- Select the date range. Classes and reservations are included by their start date. Reservations are included only when the organization uses bookings.
- Optionally filter by Class tags. When class tags are selected, only class participants are reported and reservations are left out.
The report shows the number of classes, reservations and clients covered, a map of the postal codes, and tables of Genders, Ages and Unique zip/postal codes with the number of people for each. It also tells you how many participants have a zip/postal code. Use Excel to export the detail.
- The map includes only valid postal codes. Invalid or ambiguous values are excluded, and the note under the map tells you how many. Canadian postal codes are grouped by their first three characters, and nearby areas are clustered for faster display.
- Each person is counted once, even if they appear in several classes or reservations. People without a postal code are not placed on the map or in the postal-code table.
- The report is available to administrators and owners. It is not available to accountants or to other roles.
Choose between payments, sales, Stripe, Classes and Bookings
- Start with Payments when your question is, “When and how did we receive or refund money?”
- Start with Sales when your question is, “What did we invoice, and under which ledger code?”
- Start with Stripe payouts when your question is, “Which Stripe deposit should match this bank-statement line?”
- Open Stripe payments from a payout when you need the transactions and fees that explain that deposit.
- Use Period journal entries for posting-basis accounting entries; use Deferred revenue to analyze when eligible service revenue is earned.
- Start with Classes revenue for cumulative class sales, Class enrollment tracking for registration pace, and Class capacity utilization for current roster occupancy.
- Use Active memberships for membership headcounts as of a date and Membership payments for money received or refunded on payment dates.
- Use Bookings for scheduled resource utilization, Bookings revenue for finalized client billing tied to event dates, Traffic for recurring weekday/time patterns, and Live bookings to replay one day of booking operations.
- Use Geographic and demographics to see where class participants and clients with reservations live (zip/postal code), and their age and gender.
