Media Library and Media Management
Keep reusable images, documents and videos in the media library so staff can use the same assets in messages, templates and portal content. Uploading a file does not send it to clients.
Choose the media type
Open the media library from the administration menu and choose the relevant tab. Uploaded images, documents and videos are distinct from external sources such as Pexels, YouTube, Vimeo and Canva. Available sources depend on the media picker and enabled integrations.
Images
Upload a file or choose an existing image. Open it to review its name, description and available actions. Use a recognizable name so other staff can find the right version. Preview the crop and proportions in the actual template or page where it will appear. For a layout-specific version, choose ⋮ → Duplicate & crop/resize on an eligible active image in the media library. This creates a separate copy, leaving the source image available. The action is not offered for SVG or archived images.
An archive action removes an asset from ordinary selection; it should not be used as a promise to revoke content already shared with recipients. Review the exact action before deleting or replacing media referenced elsewhere.
Documents
Upload the document from the documents tab. Open it to inspect its metadata and sharing controls. A shareable link can be used in a message, template button or website. Check what the link exposes and use the appropriate protected-document workflow for confidential material.
When sharing through SMS, the recipient normally follows a link to the document; a PDF is not an MMS attachment. Email attachment behavior depends on the sending workflow. Preview the finished message instead of assuming every media selection creates an attachment.
Videos
Upload your own video or choose a supported external video source. For uploaded videos, review the name, description and recording information. Where offered, trimming the beginning and adding a logo watermark are processing options; allow processing to finish before sharing and review the result.
External video access remains subject to the host’s visibility settings. Test the recipient’s link without relying on your administrator’s signed-in session.
Add a YouTube video to an email message
When composing an email newsletter or another message, choose Attach a video and paste the YouTube video URL. The sender adds a thumbnail and a link recipients can follow to watch the video; the video does not play inside the email. You can paste a URL for a video hosted on another account; connecting your organization’s YouTube channel is not required for this.
This is separate from the Video question block in a form. Its YouTube media-library tab is available only when the organization has a YouTube channel configured. That tab lets you browse the organization’s channel videos; it is not the newsletter attachment control.
Reuse and maintain
Choose assets from the media picker when editing a template or page. Review accessibility text where available, links and mobile presentation. Keep the library organized and avoid removing a shared file until you understand where it is used.
