Close resources with a booking closure

A closure blocks selected resources for one continuous period. Use it for a holiday, maintenance, or a private event, when those resources should not be booked online. A closure is not a client reservation: it has no invoice, no client and no package.

Creating a closure does not cancel, move or notify anyone about reservations already on the calendar. Review those bookings and handle them yourself.

Before you start

The resources you want to close must already exist. See Set up resources and booking packages and Resources (locations and staff).

An owner, an administrator, or an attendant can create and edit a closure. On the Bookings calendar, open the blue + menu and choose Closure. The item sits after Booking, Invoice and Note. On E-Commerce → Today, the + menu also contains Closure, after Booking and Invoice.

Someone without that access who opens an existing closure sees You do not have the required permission to make changes. The fields stay disabled.

Create a closure

  1. On the Bookings calendar, or on Today, open the blue + menu and choose Closure.
  2. The window is titled Closure.
  3. Enter a Title. The title is required, and it is the name shown on the calendars.
  4. Optionally choose a Booking type. The closure then uses that type's colour.
  5. Optionally enter a Message. Clients see this text on the public package calendar, under the closure's time range.
  6. Set Start and its Time, then End and its Time. Both dates and both times are required, and the start must be before the end. Times move in 5-minute steps. The placeholders are Start date, Start time, End date and End time.
  7. Under Resources, remove every resource that should stay open. Each selected resource is shown with an x, and the x at the right of the field clears the whole list. Every resource starts selected, and at least one is required. On Today, the list is the resources loaded for the current tag, so other resources are not listed.
  8. Click Create. Cancel closes the window without saving. The calendar refreshes after you create the closure.

A new closure starts at the current hour, rounded down, and ends 24 hours later. Change both times before you create it. Every selected resource uses that same start and end. One closure cannot give a resource a different time from the others.

Create stays unavailable until the title, at least one resource, and a start that is before the end are filled in.

How staff see the closure

The Bookings calendar and Today show one timed block for each selected resource. The block uses the Title.

When you chose a Booking type, the block uses that type's colour. Without a booking type, the block is orange, the same colour as an admin booking that has no type.

Click the block to open the closure.

Edit, remove a resource, or delete

Open the closure from its block. The window title is Closure followed by the closure number. Change any field, then click Save.

To leave a resource open, remove it from Resources and save. That resource is no longer part of the closure. The resources you leave selected stay closed for the same start and end. A resource you add receives that same start and end.

Delete is available when you can modify the closure. Confirm the deletion. The resources can be booked again immediately.

Cancel closes the window without saving.

What clients see

On the package, open the Calendar tab and find Display. The text there reads: “By default the calendar only shows availabilities; slots clients can book. Additionally, you can display existing bookings by type to explain why a location is not available.” Show closures controls whether that package's public calendar draws the closure. The switch defaults to on. Turning it off hides the closure on that calendar. The slots stay blocked either way.

When Show closures is on, the calendar shows the closure's Title, its time range, and the Message when you entered one. Clicking the closure does nothing. A closure that covers more than one day appears on each day it covers, and each block shows the closure's full time range.

A closure on a parent resource is included on the package calendar for a resource under that parent.

A calendar that shows several packages from one category together does not draw closures. Slots on the closed resources are still blocked.

Effect on online booking

A closure always blocks package slots on the selected resources. It also blocks a parent resource and resources that overlap or block one another. The package's buffers before and after the appointment apply. Show closures does not change this.

Locations, staff and equipment are all resources. Closing a staff resource blocks package slots that require that person.

When staff book over a closure

A reservation on a closed resource uses the same availability check as any other admin booking. Without Can ignore booking conflicts, staff see One or many resources are not available. Check with an admin to make this booking.

The same check runs when you create or save the closure. Without that permission, you cannot close a resource that already has a booking in the chosen range.

Reservations already on the calendar

Creating a closure does not cancel, move or notify the client about bookings already in that period. Review them on Today and decide what to do with each one.

Frequently asked questions

There is no all-day switch

Enter the start and end yourself. For a full day, set the start to 00:00 and the end to 00:00 on the next day.

A closure does not repeat

Each closure covers one continuous range. Create a separate closure for each holiday, maintenance window or private event.

Closures are left out of the Bookings and Traffic reports

The Bookings report and the Traffic report do not count closures. See Bookings reports.
