Adjust class capacity to reserved locations

Keep a class’s participant limit in sync with the locations reserved for each occurrence. For example, three courts with four places each give an occurrence a capacity of 12. Remove one court from that occurrence’s reservation and its capacity becomes 8, without a separate edit to the participant limit.

Before you start

Use an administrator account with permission to edit the classes and their resources. Create each court or room as a separate location resource, then select the locations in the class’s Resources tab.

The number of places is configured per location, per class. A court can allow four participants in one class and 20 in another. Staff and equipment do not contribute places.

Enable capacity per location

  1. Open Classes → All Classes & Events and edit the class.
  2. Open Resources and review the selected locations.
  3. Turn on Adjust capacity to reserved locations. This option is off by default.
  4. Under Places per location, enter a whole number for every location. Different locations can have different values; zero is allowed.
  5. If Other upcoming locations appears, open it and complete the capacities for locations used by ongoing or upcoming occurrences.
  6. Save the class before editing individual occurrence reservations.

The maximum participant field displays the total for the class’s selected default locations and becomes read-only while this option is enabled. The class table also displays this calculated total. Each occurrence uses its own reserved locations, so its capacity can differ from the class total. Quick edit uses the same saved setting and capacities.

Change the locations for one occurrence

Open the reservation from the booking calendar, or edit the occurrence’s reservation in the class’s Resources tab. Add or remove a location, then save.

The capacity recalculates for that occurrence. Removing a court for one date does not remove it from the main class or from other dates. Before reserving a new location, define its places in the class’s Resources tab and save.

For example, locations with 4, 6 and 4 places provide 14 places. Removing the six-place location leaves 8. If three participants are already registered, a capacity of 8 leaves five places available.

Important

A lower capacity does not cancel existing registrations. If the number of registered participants exceeds the new limit, review the registrations and arrange any changes with the participants. Completed occurrences keep their historical capacity.

Configure several classes at once

  1. In the class list, open Bulk operations from the actions menu.
  2. Under Staffing and resources, choose Capacity per location.
  3. Use the existing search and filters to find the classes. The Associated locations column shows their default locations and those used by ongoing or upcoming occurrences.
  4. Open Reserved locations to search and select one or more locations. A class appears if it uses at least one selected location. Clear the filter to show all locations again.
  5. Check the classes to update. Select all applies to the filtered list, across its pages.
  6. Leave Adjust capacity to reserved locations enabled and enter Places per location — common value.
  7. If needed, use Different values for specific locations (optional) to give particular locations another capacity.
  8. Click Apply, review the class count and replacement warning, then confirm.

For example, set a common value of 4 and an exception of 6 for a larger court. Each checked class receives those values for the locations it uses. Existing values for affected locations are replaced; no locations are added to reservations.

Note

The location filter selects classes, not the locations to modify. The operation applies to all default and ongoing/upcoming reserved locations of the checked classes. Date filters help choose classes; this operation does not limit recalculation to a selected date range.

Locked classes must be unlocked or removed from the selection. Location-based capacity cannot be combined with dynamic attendance rules in the same class.

Turn the option off

Disable the option in the class’s Resources tab and save, or disable it in the bulk operation for selected classes and confirm. Ongoing and upcoming occurrences return to their manual limits. Per-location values remain saved for reuse; completed occurrences keep their historical capacity.
