Create a birthday invitation and automation
Discover how to streamline and automate the planning of your birthday party.
With this process, parent organizers can easily create an event, send invitations to guests, and track registrations directly in an attendance list.
In this guide, we’ll show you how to set up a birthday form, personalize your invitations, automate confirmation emails, and allow invited parents to complete a digital waiver to confirm their child’s attendance. You’ll also learn how to enable an option that lets the hosting parent view the list of guests registered for their event.
1. Create the host parent’s birthday form
The host’s form reserves the party and collects the details used in the invitation. The guest RSVP form is a separate step: it lets invited parents register their children for that party.
- Open Forms > Create and choose the children’s birthday-party sample. The published recipe calls this sample Anniversaire pour enfant in French. Review the sample available in your organization before using it.
- Customize the account-owner question for the parent organizing the party. Add or adjust the birthday child’s first-name question and its merge field, which the invitation will use. Add the child’s actual date of birth if needed; do not confuse it with the party date.
- Review the Children’s birthday party class created with the sample. Set its price and maximum participants, then add the dates available for booking.
- In the class’s Advanced options, enable the option that lets the client—the host parent—view the attendance list when you want them to see registered guests.
- In the form’s class question, require selection of one event, set the price rule to price per event, and override the number of spots to 1 so the host form accepts one reservation for a date. This is the host-booking rule; review guest registration separately in the RSVP step.
- Save the form and review the host’s path, the selected date, price and confirmation. Keep the same event context when connecting the invitation and RSVP form.
Payment and invoices for the host booking
The steps above describe how the host form books a party date. They do not, by themselves, set up payment. The Payment tab (with its payment options) exists only on forms of the Payment form type; a form of another type, such as a standard Form or Custom form, does not show it. Check which type your birthday form is. If it is not a payment form, it records the booking but does not collect payment or create an invoice, so collect the deposit or balance separately.
If you want the host parent to pay when booking, use a payment form and follow Payment forms for the payment settings, offline payments and invoices. Do not assume the birthday sample is already a payment form.
