Generating certificates
Design a certificate once, then personalize it with participant or form data when you apply it to an audience. Keep the reusable design separate from the list of people receiving it.
Create the design
Open More > New certificate and start from a sample or from scratch. Choose the language, format and orientation. Letter-sized certificate layouts support portrait or landscape; the name-badge format is designed for Avery 5392 sheets with six badges per page. For an existing multi-page PDF, use the separate PDF document workflow.
Add the background and fields
Upload a background image or create one with Canva. Leave clear space for variable text. Add text blocks, place them over the background and set readable formatting. Insert participant, registration or form-answer placeholders using the picker instead of typing translated token names.
The background supplies the design; placeholders supply each person’s values. A field cannot infer data that is missing from the selected recipient or response. For assessment-based certificates, connect the relevant assessment questions to placeholders and verify the completed assessment data.
Preview with real context
Select Apply, choose a list or form and cycle through representative recipients. Check names, levels, dates and long answers. A blank design preview does not establish that every recipient’s fields will fit or resolve correctly.
To inspect a single completed certificate, use the print preview. For a batch, follow generate certificates in bulk.
Reuse the design
You can insert a Certificate block in a message template so each recipient receives their personalized document. Confirm the recipient context and preview before a real send. SMS shares a link to the certificate rather than delivering the printable file as an MMS attachment.
Use clear names and tags when managing several designs. Review existing uses before changing or archiving a design. For multi-page forms and reports, see PDF documents.
